Getting started
How do I switch accountants to you?
One signature. You complete a short engagement form and an HMRC/Companies House authority, and I write to your previous accountant requesting your records. Professional bodies require them to hand everything over promptly — you never have to chase your old paperwork yourself.
Do I need to live in Derby?
No. Around half of my clients work with me entirely online — document sharing, video calls and cloud accounting. You're welcome to visit the Sadler Gate office, but it's your choice, not a requirement.
How quickly do you reply to questions?
By the end of the next working day, usually much sooner. Urgent deadlines and pay-run days jump the queue.
Which software do you support?
Xero and QuickBooks primarily, both of which I hold certifications for. FreeAgent and Sage are fine too. If you love your spreadsheets, we can work with those — though I'll gently show you what the cloud version looks like.
Fees & paperwork
How do fixed fees work?
After the free chat you receive a written proposal listing exactly what's included and the monthly or one-off fee. Unless the scope changes — and we'd discuss that first — the fee doesn't move. No charge for quick phone calls and emails.
Are there hidden extras?
The only things that change your fee are things that change the work: new employees, a VAT registration, a second company, or a request outside the original scope. You'll always approve the change in writing before it's billed.
Can you rescue a backlog of unfiled returns?
Yes — it's more common than you'd think. We agree a fixed catch-up fee, I deal with HMRC directly (penalty mitigation included), and we put a routine in place so it never builds up again.
Your data (GDPR)
What happens to my data if I enquire but don't become a client?
Your enquiry details are used only to reply to you, and are deleted within 24 months of our last contact. They are never sold or used for marketing you didn't ask for. Full details are in the privacy policy.
Where is my information stored?
Client records live in UK/EU-hosted cloud services (accounting software, secure document store and encrypted email). As an ICO-registered data controller I keep a record of every processor used, and standard data-processing agreements are in place with each.
Can I see or delete the data you hold about me?
Yes. You can request a copy of everything held, ask for corrections, or ask for erasure (subject to legal retention duties — tax records must be kept for set periods). Email contact@accountsandbusinessesservices.com and you'll get a response within 30 days, usually within a week.
